SUPPORT SERVICES COORDINATOR (ESTATES AND HEALTH & SAFETY)

HIGHFIELD PARK, LLANGWYFAN, LL16 4LU

Salary: £29,062.80 – £31,527.79 per annum (DOE)

Hours of Work: 40 per week (Monday – Friday 9am-5pm)

We are seeking a motivated and organised Support Services Coordinator to join our team. This pivotal role involves supporting our Estates and Health & Safety teams to ensure smooth day-to-day operations and compliance with relevant standards and regulations. About the role:

The Support Services Coordinator will play a key role in coordinating administrative processes, liaising with internal and external stakeholders, and ensuring that the Estates and Health & Safety functions operate efficiently and effectively.

The coordinator will be expected to complete a wide range of administrative tasks and ad-hoc project work as required. The role will require efficient and effective administration skills as well as a high level of attention to detail and the ability to manage multiple tasks.

You will provide a range of invaluable assistance to the Heads of Estates and Directors in supporting these departments, projects and initiatives across both MHC and Young Foundations.

About you:

To excel in this role, you’ll need:

  • Minimum Qualification – Degree in Business Administration or similar
  • A high level of grammar / spelling and a GCSE English qualification
  • Experience of undertaking a range of administrative duties including task & project management
  • Competent and confident in using related software e.g.MS word, excel, projects, outlook etc
  • Knowledge of the importance of confidentiality
  • High level of attention to detail and the ability to manage multiple tasks
  • Full UK Driving Licence with access to own vehicle

Key responsibilities:

  • Provide administrative support to the Heads of Estates and Health & Safety for both MHC and Young Foundations
  • Manage systems and processes implemented by the department to assist with the running of both businesses
  • Centralise a contractor list, manually updating for both MHC and Young Foundations current contractors and to collate physical evidence i.e. insurance etc with ongoing monitoring of this process
  • Monitor and distribute jobs to the maintenance team, as and when they are received and track job completions with the maintenance team
  • Support with the organisation of marketing and distribution of H&S related alerts (serious Incident), awareness packs, surveys (internal) and other H&S and Estates relating documents
  • Building Compliance – Monitor a tracker and manage centrally, ongoing management of H&S files, monthly updates, audit actions, FRA Actions for both MHC and Young Foundations
  • Issue monthly and annual H&S Reports – Accidents, Fleet etc and any other that may be required for both MHC and Young Foundations
